Day 1: Introduction to Project Management

Objectives:

  • What is Project Management?: Overview of project management concepts, frameworks, and methodologies.
  • The Role of Administrative Professionals in Project Management: Understanding how administrative roles are integral to project success.
  • Project Life Cycle: Phases of a project—from initiation to closure.
  • Key Project Management Terms: Terminology such as scope, deliverables, milestones, timelines, and dependencies.
  • Why Projects Fail and How to Prevent It: Common causes of project failure and strategies to mitigate risks.

Activity:

  • Project Kickoff Simulation: Participants will work in teams to kick off a mock project, setting the stage for project planning and execution.

Assignment:

  • Identify and describe a small project you are currently working on in your administrative role. Define its scope, objectives, and timeline.

Day 2: Planning and Organizing Projects

Objectives:

  • Learn how to develop clear project plans and organize tasks for successful execution.
  • Gain skills in setting project goals, milestones, and defining roles and responsibilities.

  • Project Scope and Objectives: Setting clear goals and defining the project scope to ensure alignment.
  • Work Breakdown Structure (WBS): Breaking down the project into manageable tasks and activities.
  • Creating a Project Schedule: Tools and techniques for scheduling project tasks—Gantt charts, timelines, and task lists.
  • Resource Planning: Identifying and allocating resources—people, budget, and equipment.
  • Stakeholder Management: Understanding stakeholder roles, expectations, and how to communicate with them effectively.

Activity:

  • WBS Exercise: Participants will create a Work Breakdown Structure for a sample project, breaking it down into smaller tasks and subtasks.

Assignment:

  • Develop a simple project plan for a real or hypothetical project you’re working on, including a WBS, schedule, and resource plan.

Day 3: Managing Project Risks and Resources

Objectives:

  • Learn techniques for identifying and managing risks in project management.
  • Understand how to effectively manage project resources to avoid bottlenecks and delays.

  • Risk Management: Identifying potential risks, assessing their impact, and creating mitigation strategies.
  • Resource Allocation and Management: Effective resource planning to optimize productivity and prevent resource constraints.

  • Identify a current project you are working on and list potential risks along with your mitigation strategies.

Day 4: Communication and Collaboration in Project Management

Objectives:

  • Learn to collaborate effectively across teams to ensure project success.

  • Communication Strategies: Best practices for communicating with stakeholders, including reporting and updates.
  • Effective Team Collaboration: How to foster teamwork and ensure that team members are aligned with project goals.
  • Managing Expectations: Setting realistic expectations and providing regular progress updates to stakeholders.
  • Problem-Solving in Teams: Techniques for resolving issues or conflicts within the team during the project lifecycle.

Activity:

  • Team Communication Exercise: Participants will simulate a project meeting, practicing communication and collaboration techniques to address an ongoing project challenge.

Assignment:

  • Draft a project status update email to stakeholders, summarizing key accomplishments, upcoming milestones, and any issues or risks that need to be addressed.

Day 5: Tracking Progress and Project Completion

Objectives:

  • Learn how to monitor project progress, adjust plans as needed, and ensure successful project delivery.
  • Understand how to close a project and conduct a post-project review.

Topics Covered:

  • Tracking and Monitoring Project Progress: Tools for tracking project progress—status reports, progress meetings, and key performance indicators (KPIs).
  • Managing Changes: How to adapt to changes in scope, schedule, or resources and keep the project on track.
  • Project Closure and Evaluation: Closing the project formally and conducting a post-project evaluation.
  • Lessons Learned: Gathering feedback from stakeholders and team members to improve future project management practices.

Activity:

  • Project Simulation Wrap-Up: Participants will wrap up their mock projects, presenting their project outcomes, lessons learned, and any challenges encountered.

Assignment:

  • Create a project closure report for the project you worked on during the program, summarizing the outcome, lessons learned, and recommendations for future projects.

Program Delivery:

Format: In-person or virtual (interactive sessions with case studies, group discussions, role-playing, and hands-on exercises).
Duration: 5 full days (6-8 hours per day).
